Job Description: Extended Learning Program Director

 

Role Summary: The Extended Learning Director plans and leads high-quality extended learning programs that extend and enrich the core Montessori and liberal arts curriculum at Libertas. These include: before school care, after school learning, athletics, field trips, and enrichment classes during the school day (music, visual art, manual arts, theater, P.E., etc.). The Extended Learning Director also serves as the School Testing Coordinator, planning for and administering internal and state assessments (e.g. NWEA MAP, Aimsweb, TCAP), in close collaboration with the academic leadership team.

 

Our School: Libertas is a public charter school serving the Frayser neighborhood in Memphis. Our mission is to be a school for human flourishing: cultivating minds, hands, and hearts for lives of wonder, work, and love. We offer a rich, rigorous, and personalized liberal arts education through the method of Dr. Maria Montessori, with an attachment village of wraparound family supports. The state has named Libertas a Tennessee Reward School - one of the top 15% of public schools. We currently serve infant and toddler, early childhood and elementary at our founding location and a new middle school on a second nearby campus. Role information

• Full-time, following the school calendar (optional additional weeks in the summer for Summer Camp, for additional compensation)
• Most days 10:00 a.m. to 6:00 p.m. with some flexibility to oversee before-school programs (which begin at 7:00 a.m.) and morning enrichment classes (which begin at 8:00 a.m.). Must be available to begin at 7:30 or 8:00 a.m. during certain testing windows.
• Flexible start date (as early as November 2025, as late as May 2026)
• Reports to: Assistant Principal
• Key relationships: extended learning program staff, classroom teachers, Attachment Village Team members, Family Engagement Team members, students, families, community partners

 

Measures of success

• Successful planning and implementation of assigned programs
• 85% satisfaction among stakeholders (including staff, students, and families)
• Specific measures for after-school. For example: 
• Increase growth in reading and math, exhibit positive behavioral changes, decrease chronic absenteeism
• Multiple community partners involved
• After-school family engagement activities implemented
• All assigned programs operate within budget and meeting all compliance standards
• Satisfactory performance evaluations
• Other indicators as determined

 

Key responsibilities (hours per week are estimates)

 

After School Learning (16 hours / week) and Before School Care (2 hours / week)

• Plan and implement high-quality After School learning programs (serving well over 100 children daily) according to grant guidelines and school priorities. Programs should include academic tutoring, academic enrichment, arts, and athletics – see current family-facing program overview here.
• Increase opportunities for students to participate in after school athletics programs through intramural sports and/or community leagues. (We currently offer intramural baseball, softball, and dance, in addition to our partnership with Soccer Shots.)
• Plan and implement daily Before School Care for students who arrive before the school day begins.
• Recruit and assign staff members and community partners. (Past, current, and potential partners include Collage Dance Collective, Soccer Shots, Girls Inc, Code Crew, New Ballet Ensemble, etc.) 
• Supervise staff. Observe and give feedback aligned to program goals. Address performance issues directly and in a timely manner.
• Create and publish daily program schedules for staff and students. Ensure all programs are scheduled to occur in appropriate classrooms or other locations.
• Recruit and enroll students. Communicate with families about program offerings and program fees. Send invoices to families and process payments using our online system. Follow up with families who fail to pay. Allocate scholarship money equitably and strategically. 
• Ensure student safety. Maintain a safe environment and comply with all state and childcare guidelines and regulations. 
• Monitor students as they arrive at the After School Program and oversee transitions to assigned classes and programs. Address student behavioral issues. 
• Manage resources by coordinating staffing, schedule, and materials to meet program requirements and stay within the given budget
• Monitor, report, and respond to data (e.g. attendance, student outcomes, etc.): Accurately update all systems in accordance with published deadlines. Address off-track indicators.

 

School-Day Enrichment Teaching (6 hours / week) and Management (5 hours / week)

• Teach one or more enrichment courses (e.g. music, visual art, theater, manual arts, P.E., Latin, etc.) to groups of Elementary or Middle School students. (Assigned content will be based on candidate’s experience, interests, and qualifications.)
• Support Assistant Principal in supervising teachers of enrichment classes at Lower School and Middle School campuses (e.g. music, visual art, manual arts, theater, P.E., etc.). 
• Regularly observe and offer feedback. Conduct performance evaluations
• Ensure curriculum and instruction are aligned with our school philosophy and Montessori pedagogy
• Participate in recruitment and selection of enrichment teachers

 

Field Trip Planning and Implementation (3 hours / week)

• Work with school leaders to develop year-long and multi-year field trip plans, including selection of field trip locations and dates
• Manage all aspects of field trip scheduling and planning including coordinating with field trip sites
• Create a trip itinerary in advance of each trip
• Create and distribute permission forms; collect, process, and track completed permission forms; create field trip rosters including group and bus assignments
• Develop a budget for each field trip; manage collection and tracking of field trip fees; ensure payment to field trip locations and transportation providers
• Collaborate with Operations staff to request bus transportation and meals (if needed)
• Enlist and communicate with chaperones, including staff members and parents; ensure that all chaperones are adequately trained
• After each field trip, gather feedback from participants (staff, students, chaperones)
• Collaborate with external relations team to secure grant funding to support our field trip programs

 

Lower School Testing Coordinator (7 hours / week on average, but fluctuates seasonally)

• Ensure that all state- or district-mandated and school-selected assessments are administered on schedule, with fidelity, and in accordance with all security requirements
• Work with academic leaders to develop testing plans and schedules
• Conduct security trainings for staff members. Maintain training and test security records as required by relevant authorities
• Ensure that testing environments are prepared, stocked with necessary supplies, and meet all test security requirements. Ensure that all necessary testing technology (computers, tablets, etc.) is prepared and meets all requirements
• Administer assessments and oversee and support staff members who are assigned to help administer assessments

Qualifications and traits

• Experience working in a K-12 school environment is strongly preferred
• Highly organized and extremely detail-oriented; able to multitask while staying organized and attentive to detail
• Proven experience in successfully working with and supporting a team of adults to reach stated goals and desired results
• Proficiency with creating spreadsheets for data input and analysis as well as working with Google Suite
• Timeliness and commitment to meeting deadlines
• Customer service oriented. Effective communication skills, including listening, writing, and speaking
• Warm and firm demeanor

Compensation

• Salary: $50,000 to $60,000 based on experience and proven effectiveness
• Eligible for increases or stipends for performance or additional duties
