Background
Libertas School of Memphis is a Montessori, liberal arts public charter school serving a historic but marginalized neighborhood in Memphis. We serve over 600 children from six weeks old through middle school in inclusive, multi-age classrooms.
Role summary and information
- Key function: Run a service-oriented front desk, provide direct service to families and teachers, and be a key agent between families, the community, and the school.
- Full-time, salaried role. This position follows the school calendar plus one additional week in the summer before staff in-service. 7:30 am-3:30 pm on school days, and until 4:30 on Wednesdays.Will assist with periodic school events outside of the normal schedule.
- Measures of success for the position include customer satisfaction among teachers and families; accurate entry of attendance and other data; timely and thorough completion of tasks; performance evaluations; and related indicators.

Key Responsibilities
Front Office Clerical
- Create a welcoming, professional, and organized front desk.
- Actively seek to create a front office that is the central resource of information in the school.
- Knowledgeable of school operations with the ability to direct individuals to the appropriate contact.
- Clerical activities, including routine correspondence, assisting with filing records and documents, processing mail, copying, filing, answering phone calls to the school, responding to inquiries, transferring calls, and taking messages.
- Screen, greet, and sign in all individuals entering the building in alignment with the school safety guidelines and guide them to their appropriate destinations.
- Attendance: Enter daily attendance, tardies, and excuse notes; monitor classroom attendance completion. Assist in arrival/dismissal procedures, including daily student tardies. Support the attendance team with scheduling and preparing for attendance meetings.
- Support the collection and maintenance of student records and files (e.g., demographics, transcripts, immunization records, meal eligibility forms, emergency contacts, and income eligibility.
- Maintain welcome packets. Ensure all visitors are welcomed and information is input in the kiosk.
- Monitor, organize, and purge lost and found.
- Perform health-related tasks, e.g. medications, bandages & taking temperatures, in the absence of a nurse.
- Place calls for out-of-service office equipment and printers and ensure timely repair.
- Order, organize, and maintain office supplies in storage closets, and workroom.
- Organize and maintain student uniform inventory systems.
- Collect and maintain records of monies received in the office for uniforms, before care, aftercare, and field trips.
- Access and update basic information (e.g., family phone numbers) in PowerSchool student information system, SchoolMint registration system, and other school data tracking systems. Print, organize, and distribute lists, rosters, and reports as needed.
- Assist in supervising students waiting in the office.

- Full-time, salaried role; $15 to $20 per hour based on qualifications and experience.
